Digitalisation has transformed many areas of business - including invoicing. More and more companies are turning to electronic invoicing to make the process more efficient and ensure it complies with the law.
At SpeedIT Solutions, we have adapted to these requirements: with immediate effect, we are sending our invoices to business customers as PDF documents via email in accordance with e-invoicing requirements, and are also making them available for download in the customer portal. We send e-invoices in the ZUGFeRD format as standard; on request, we can also provide them in the XRechnung format to meet different requirements.
What is an e-invoice?
An e-invoice is an invoice that is not only transmitted digitally but also contains structured data. This data can be imported directly into accounting and ERP systems without the need for manual entry. The aim of e-invoicing is to make processes more efficient, reduce errors and standardise the exchange of invoices.
With the ZUGFeRD (Central User Guide of the German Electronic Invoicing Forum) and XRechnung formats, you have access to two of the most common standards for electronic invoices:
- ZUGFeRD format: This format combines a human-readable PDF document with an embedded XML file that is machine-readable. It is flexible and suitable for businesses with varying requirements.
- XRechnung: This pure XML format complies with European Union specifications and is frequently used by public sector contracting authorities.
How do you receive your invoices?
At SpeedIT Solutions, we have designed the process so that you can choose flexibly between different options:
- PDF invoice by email: Every invoice is automatically sent to you by email as a PDF in ZUGFeRD format. This format meets the requirements for e-invoicing and allows you to use the file both digitally and in printed form.
- Download from the customer portal: For even greater convenience, you can download your invoices at any time from our customer portal. This applies to both current and older invoices, so you always have access to your documents.
- XRechnung format on request: If you need a higher level of automation or need to comply with specific legal requirements, we can provide you with invoices in the XRechnung format.
Why do we use e-invoices?
The introduction of e-invoicing is a logical step for us to modernise our internal processes whilst offering our customers added value. The switch to e-invoicing brings many benefits:
- Efficiency: The direct integration of invoice data into your accounts saves time and reduces the need for manual data entry.

What does this mean for you?
Little changes for our customers - except that the invoicing process is now even more efficient and flexible. You will continue to receive all invoices conveniently by email and can download them from the customer portal.
